7 Ways to Maximize Your Work Efficiency

Choose one word that describes your desk. Now choose one word that describes your work ethic. After reviewing those two words, do they match? Probably not.

Many of us feel guilty about the way our desk looks. We may have piles of papers, books, magazines, coffee cups and Post-It notes cluttering our workspace. Or our desk may look like a barren desert and have nothing on it but our electronic devices.

Whatever your desk looks like, it is important to remember that it does not represent your efficiency. Your organizational style impacts your efficiency. Becoming more efficient ultimately helps you to succeed in meeting your goals.

7 Ways to Organize Your Desk to Achieve Maximum Efficiency

  1. Think about the items you need every day for your job or school. Find a location for each item at your desk. Having a predetermined spot for each item will help you stay organized and prepared.
  2. Create and use a calendar for ALL aspects of your life. Use an electronic calendar, app, planner or wall calendar. You may even need more than one type of calendar. Use a calendar that is comfortable for you and meets your needs.
  3. Designate a notebook or folder on your computer for meetings and projects. Keeping all information in one place keeps your information organized and easily accessible.
  4. Keep necessary supplies such as pens, calculator, scissors, stapler and markers within arm’s reach to eliminate the need to look for them. Designating small storage bins for these items is also helpful.
  5. Create a daily to-do list using a small notebook. Designate a spot on your desk for the list. Construct the list each night before you go home and mark off each item after you complete it during the day. Prioritize all items using colors or symbols, so you complete the most urgent item first.
  6. Designate a location on or in your desk for time-sensitive items. This way, it’s easier to keep track of these items and complete them on time.
  7. Include one or two personal and inspirational items on your desk. These items can be a family or vacation photo, a quote, flowers, or other special items.

At the end of your workweek, block out 15 minutes to clean and organize your desk. Beginning each week with an organized desk gives you the clear mind you need to be efficient and productive.

She also has a master’s degree in Education from Virginia Tech in 1993, focusing on college student personnel with a strong interest in women’s studies.
